In most cases, evaluation begins with the least aggressive option that fits most comfortably within existing procedures and carries the lowest level of commitment. 

From there, arrangements are reassessed only when additional support becomes necessary.

We maintain industry-standard insurance and compliance documentation. Submitting the Vendor Setup Request allows us to prepare property-specific documentation for accounting and risk review.

Insurance & Compliance Status

We carry industry standard:

  • General Liability Insurance

  • Commercial Auto Liability Insurance

  • Workers’ Compensation Insurance

Vendor Packet Includes: policy limits and a high-level company overview for initial review.
Non-binding. No exclusivity. No minimum usage required. Once requested completed vendor setup packets are typically delivered by the end of the next business day.

Working Alongside Existing AV Agreements

Many hotels operate within established Audio Visual agreements, including national or in-house AV providers. NXT Level AV is structured to work within those existing arrangements and does not require changes to current contracts or partnerships.

Our role is to provide additional flexibility and support where helpful — whether for overflow events, scheduling gaps, specialized needs, or backup coverage — while respecting the hotel’s existing AV structure.

• Can operate alongside current in-house or national AV agreements
• Provides supplemental coverage without contract disruption

This support is provided to help hotels make informed decisions and does not require a commitment or partnership. Some hotels choose to work with us over time, while others use the information internally to plan.

Support for New, Boutique, and Growing Hotels

Not all hotels operate with in-house Audio Visual programs or established AV partnerships. Some properties are newly opened, growing their event business, or evaluating whether in-house AV support makes sense long term.

NXT Level AV is available to support these hotels with guidance and perspective as they assess their needs. This may include conversations around AV infrastructure, operational considerations, staffing models, or future planning.

A Straightforward Vendor Review & Setup Process

Step 1: Internal Review
The Vendor Coverage & Qualification Packet provides the information hotels typically require to confirm baseline qualifications, including service scope and insurance coverage. This step is intended solely for internal reference and evaluation.

Step 2: Confirm Internal Fit
Hotel teams may review the packet internally and determine whether NXT Level AV aligns with their operational and compliance standards. If specific documentation or coverage limits are required, those items can be addressed during formal onboarding.

• No action required unless proceeding

Step 3: Request Formal Vendor Setup
If a property elects to move forward, formal vendor setup can be requested. At this stage, signed documentation and venue-specific Certificates of Insurance are provided.
